# Guest Extensions: Let Renters Extend Their Own Trips

# ⏱️ Guest Extensions: Let Renters Extend Their Own Trips

---

Guest Extensions let a renter ask for more time from their own reservation page. They pick a new return time, see
the price, and send the request. You approve it on the order, or let Fleetwire approve it automatically when the
vehicle is free. Either way, approving extends the booking and sends the renter a payment request for the extra time.

No more "can I keep it until Sunday?" texts, recalculating the price, and sending a payment link by hand.

## What you need

- Any Fleetwire plan (Basic, Standard, or Premium).
- A **direct Fleetwire booking**. Turo trips are managed by Turo and can't be extended here.

## Turning it on

1. Go to **Settings → Booking rules → Extensions** and find **Guest Extensions**.
2. Choose how requests are handled:
   - **Don't allow extensions online** (default). Renters contact you to extend.
   - **Renters request, I approve.** You're emailed each request and approve or decline it on the order.
   - **Extend automatically when the vehicle is free.** The booking is extended right away and you're emailed that
     it happened.
3. Choose how much time a renter can add **per request**: 1, 2, 3, 7, 14 (default), 30, 60, or 90 days. Anything
   longer still goes through you.

Changes save as soon as you pick them.

## What your renter sees

Once the trip has **started**, the renter's reservation page shows an **Extend Trip** button. (For non-car rentals it
reads *Extend Rental*.)

1. They choose a new return date and time.
2. Fleetwire shows how many extra days that adds and the price at the booked rate.
3. They can add a short note for you, then tap **Request extension**. With auto-approve on, the button reads
**Extend Trip** and the booking is extended immediately.

The button doesn't appear before pickup or after the trip has ended. A renter who wants to change dates before
pickup still needs to contact you.

> **Opened the page from an old link?** For security, the reservation page can only change a booking when it's opened
> from the renter's own link. If they arrived another way, the Extend dialog offers to email them their link. It only
> ever goes to the email address on the reservation.

## Approving or declining a request

With **Renters request, I approve**, you get an email for each request. Open the order and find the
**Extension Requests** card. Requests waiting on you are marked **Needs reply**.

- **Approve** extends the booking to the requested return time. Availability is checked again at that moment, so if
another booking has taken those dates in the meantime, the approval is stopped.
- **Decline** closes the request. You can add a reason, and the renter is emailed either way.

The card also keeps a history of every request with its requested return time, status, and any note or decline
reason.

A renter can only have one request waiting at a time.

## How pricing and payment work

- The price the renter sees is the **booked rate** for the extra days, **before taxes and fees**.
- When the extension is approved, Fleetwire extends the order and sends the renter a **payment request for the
exact change in the order total**, including taxes and fees. The renter pays it like any other Fleetwire payment
  link.
- The renter gets an email confirming the new return time, with the payment link.

If the payment request can't be created (for example, a payment connection problem), the booking is still extended
and **you're emailed** so you can collect the difference yourself.

## Unpaid extensions and auto-approve

Auto-approve extends the booking before the renter pays. To stop a renter from stacking unpaid extensions and
holding your calendar, if they **still owe money on an earlier extension**, their next request waits for your
approval instead. Your email tells you why it wasn't approved automatically.

Once the earlier payment is paid, canceled, or voided, auto-approve works for them again.

## Availability and buffers

Extensions are only offered for times the vehicle is actually free. Fleetwire checks the extra time against every
other reservation on that listing, **including your buffer time between rentals**, and in the booking's own time
zone. If the dates aren't free, the renter is told right away and can pick a shorter extension.

## FAQ

**Is the renter charged automatically?**
No. Each approved extension sends a payment request, and the renter pays it from the link.

**Can I change the price of an extension?**
Requests are priced at the booked rate. If you need a different price, decline the request and extend the booking
from the order page yourself, or adjust the order after approving.

**Does the renter get a new rental agreement?**
Not automatically. If you need a new signature for the extra time, send an agreement from the order, or tick
**Send updated rental agreement** when you extend the booking yourself (see below).

**What's the difference between this and Auto-Extend?**
[Auto-Extend](https://help.fleetwire.io/en/article/auto-extend-automatic-rental-extensions-beta-1h57nsz/) extends a
rental on a schedule you set, without the renter doing anything. It's built for long-term and gig-driver rentals.
Guest Extensions are one-off requests the renter makes when they need more time. You can use both.

**Can I still extend bookings myself?**
Yes, whatever your Guest Extensions setting. On the booking, find the **Extensions** card and click
**Create Extension**. The **Extend reservation** dialog shows the **Current return** and **New return** times:

1. Pick the new return date and time. Rental charges update to match.
2. Optionally add an **Internal note (optional)**. Only your team sees it.
3. Tick **Send updated rental agreement** to get a new signature, pick a template, and choose **Email**, **SMS**, or
both. E-signing is on the Standard and Premium plans.
4. Click **Extend** (the button names the added time, for example **Extend 2 days**).
