# Import Listings from a Spreadsheet (and Edit Many at Once)

# Import Listings from a Spreadsheet (and Edit Many at Once)

Got more than a handful of vehicles? Instead of adding them one at a time, import your whole fleet from a spreadsheet. Then use bulk actions to pause, archive, delete, or edit many listings at once.

In Fleetwire, **one listing is one vehicle**. If you have three identical vans, add three listings.

---

## Before you start: prepare your file

1. Go to [Listings](https://tenant.fleetwire.io/listings/) and click **Import** in the left sidebar.
2. Click **Download Sample CSV Template** to get a file with the right columns.
3. Fill in one row per vehicle.

| Column | Required | Notes |
|---|---|---|
| `name` | Yes | What renters see, e.g. "2024 Ford Bronco Sport" |
| `make` | Yes | e.g. Ford |
| `model` | Yes | e.g. Bronco Sport |
| `year` | Yes | Four digits, e.g. 2024 |
| `vin` | Recommended | Exactly 17 letters and numbers. **This is how Fleetwire recognizes a vehicle you've already imported.** |
| `unit_id` | No | Your own internal number |
| `price` | No | The listing's price, in dollars. `$` signs and commas are fine. |
| `security_deposit` | No | In dollars |
| `seats` | No | |
| `description` | No | Up to 10,000 characters. Line breaks become paragraphs. |

|| **Save it as a CSV file.** The importer reads `.csv` files only. In Excel or Google Sheets, use **File > Save As** (or **Download**) and choose **CSV**. An `.xlsx` file won't upload.

Make and model are saved exactly as you type them, so models missing from the listing form's dropdown import fine.

---

## Import your file

1. On [Listings](https://tenant.fleetwire.io/listings/), click **Import** in the left sidebar.
2. **Step 1: Upload CSV File.** Click **Select CSV File** and choose your file.
   - Leave **My CSV file includes a header row** checked if your first row has column names.
   - Check **Prices are in cents (not dollars)** only if your prices look like `12500` for $125.
   - Click **Next: Map Columns**.
3. **Step 2: Map CSV Columns.** Fleetwire matches your columns to its fields automatically. Check each one in the **Field Mapping** table and choose **Ignore** for columns you don't want. The **CSV Preview** shows your first row so you can confirm it's right. Click **Review Data**.
4. **Step 3: Review & Import.** Click any row to fix it before importing. When it looks right, click **Import Listings**.

If any rows have problems, an **Import Errors** window lists them by row number. Click a row to fix it, then import again.

Imported listings count toward your plan's listing limit. If a file would go over it, Fleetwire tells you how many more listings your plan has room for. Only one import can run at a time.

You need permission to manage listings to see **Import**. If it's missing, ask a company admin.

## Updating listings you already imported

Fleetwire matches rows to existing vehicles **by VIN only**:

- **Row has a VIN you've imported before:** that listing is **updated**.
- **Row has no VIN, or a new one:** a **new listing is created**.

||| **Re-importing a file without VINs creates duplicates.** If your first import didn't include VINs, don't import the same file again to fix descriptions or prices. Use **Edit Selected** (below) to update those listings, or add the VINs to your existing listings first.

When you update by VIN, a blank `description` cell keeps the description the listing already has, so you won't wipe it by accident.

---

## Add photos

Photos aren't part of the spreadsheet import. Add them to each listing:

1. Open the listing and go to the **Vehicle** tab.
2. In **Vehicle Photos**, drag your images onto **Drag and drop your images here**, or click to choose them.
3. Drag photos to reorder them. **The first photo is the cover**, the one guests see first.

Each listing holds up to **20 photos**: JPG, PNG, GIF, WEBP, or HEIC, up to 20 MB each. Use the buttons on a photo to rotate or delete it.

---

## Edit, pause, archive, or delete many listings at once

1. On [Listings](https://tenant.fleetwire.io/listings/), switch to **List View** using the view buttons at the top.
2. Click **Select**, then check the listings you want, or use **Select All**.
3. Choose an action from the bar that appears:

| Action | What it does |
|---|---|
| **Pause** | Takes the listings off your online store for now. Turn them back on anytime. |
| **Archive** | Hides them from your inventory, online store, and booking. Existing reservations aren't affected. Find them later under **Archived Listings**. |
| **Edit Selected** | Changes the same fields on every selected listing (see below). |
| **Delete** | Permanently removes the listings, including their photos, pricing, and Turo connections. You can still see their past reservations. **This can't be undone.** |

||| **Delete doesn't check for bookings.** A listing with upcoming reservations can still be deleted. If you might need it again, choose **Archive** or **Pause** instead.

Deleting needs the delete-listings permission on your team role.

### Edit Selected

**Edit Selected** opens **Bulk Edit Listings**. Check **Update** next to each field you want to change, fill it in, and click **Apply to All**. Fields you don't check stay as they are on each listing.

| Tab | Fields you can change |
|---|---|
| **General** | Paused status, name, description, unit ID |
| **Location** | Branch |
| **Pricing** | Price type (fixed, flat fee, or pricing structure), pricing structure template and base price, price period, price, security deposit, taxable, discountable |
| **Tax** | Tax category |
| **Advanced** | Padding before and after a booking (hours), minimum age |

Year, make, model, and VIN can't be changed in bulk. Edit them on each listing.

|| **Tip:** Have several identical vehicles? Select them all, click **Edit Selected**, check **Update** next to Description, and write it once.
