# Set Up Email Forwarding with Outlook (Microsoft 365) for Fleetwire

# 📧 Set Up Email Forwarding with Outlook (Microsoft 365) for Fleetwire

Want to keep your Turo, Getaround, or Ryde bookings in sync with Fleetwire? Setting up a forwarding rule in Outlook ensures that car-sharing emails (new bookings, changes, cancellations, and messages) are automatically sent to Fleetwire so we can update your listings and manage availability across platforms.

This guide is for mailboxes hosted on Microsoft 365 or Outlook.com. If you use Gmail, follow [Setting Up Email Forwarding with Gmail](/en/article/set-up-email-forwarding-with-gmail-psmtx/) instead.

| **Not sure which you have?** If you sign in to your email at outlook.office.com or outlook.live.com, or your company uses Microsoft Teams, this is the guide for you.

## 🎯 Why Set Up Email Forwarding?

Forwarding emails to Fleetwire helps you:

* **Sync Bookings Seamlessly**: Automatically block off listing timeframes on Fleetwire when bookings are made on Turo, Getaround, or Ryde.
* **Stay Organized**: Let Fleetwire see your bookings and history so it can auto-message guests and manage your calendar.
* **Protect Privacy**: Your company gets its own unique forwarding address, and the rule only forwards car-sharing emails. No personal email is shared.
---

## 🛠 How to Set Up Email Forwarding in Outlook

We'll create a rule that forwards only car-sharing emails to your Fleetwire address.

### Step 1: Copy Your Fleetwire Email Proxy

Fleetwire provides a unique email address for your company to receive car-sharing emails.

1. In your Fleetwire dashboard, go to [Connections](https://tenant.fleetwire.io/connections/turo/).
2. Find the **Email Proxy** field. It looks like `fw-xxxxx-xxxxx@inbound.fleetwire.io`.
3. Click the copy icon to copy it. You'll paste it into Outlook in a moment.

| **Pro Tip**: Set up the rule in the mailbox that actually receives your Turo emails. If you log in to Turo with a different address than your main work email, use that mailbox.
---

### Step 2: Create the Forwarding Rule in Outlook on the Web

These steps use Outlook on the web, which works the same on Microsoft 365 and Outlook.com accounts.

1. Go to [outlook.office.com](https://outlook.office.com) (or [outlook.live.com](https://outlook.live.com) for a personal account) and sign in.
2. Click the **Settings** cog in the top-right corner, then choose **Mail** and then **Rules**.
3. Click **Add new rule**.
4. Give the rule a name, for example `Car-sharing to Fleetwire`.
5. Under **Add a condition**, choose **From** and enter `noreply@mail.turo.com`.
   * If you also use Getaround or Ryde, click **Add another condition** and add their sender addresses too. Outlook treats multiple **From** conditions as "any of these".
6. Under **Add an action**, choose **Forward to** and paste your Fleetwire email proxy.
7. Leave **Stop processing more rules** unticked so your other rules still run.
8. Click **Save**.

|| **Forward, not Redirect**: Outlook offers both **Forward to** and **Redirect to**. Choose **Forward to**. Redirect can strip parts of the original email that Fleetwire needs to read the booking.
---

### Step 3: Make Sure External Forwarding Is Allowed

Microsoft 365 business accounts often block automatic forwarding to outside addresses by default. The rule will save without any error, but nothing arrives at Fleetwire.

If you are the Microsoft 365 administrator for your company:

1. Go to the [Microsoft 365 Defender portal](https://security.microsoft.com).
2. Open **Email & collaboration**, then **Policies & rules**, then **Threat policies**, then **Anti-spam**.
3. Open **Anti-spam outbound policy (Default)** and click **Edit protection settings**.
4. Under **Forwarding rules**, set **Automatic forwarding rules** to **On - Forwarding is enabled**.
5. Save.

If someone else manages your Microsoft 365, send them this: "Please allow automatic external forwarding for my mailbox in the Exchange outbound spam policy, or create an outbound policy exception for my user."

||| **Outlook.com** **personal accounts**: there is no admin setting to change. Forwarding works as soon as the rule is saved.
---

### Step 4: Test Your Forwarding Setup

1. Find a recent Turo email in your inbox (for example a "trip is booked" email).
2. Open it and forward it manually to your Fleetwire email proxy. Manual forwards are processed the same way as the rule.
3. In Fleetwire, open [Connections](https://tenant.fleetwire.io/connections/turo/) and check the Turo emails list. The email should appear within a minute.
4. Check your [Calendar](https://tenant.fleetwire.io/dashboard/) to confirm the booking was placed on the right listing.

| If the email shows up in Fleetwire but no booking is created, the listing is not yet matched to that Turo vehicle. See **Step 3** of [Connecting with Turo](/en/article/turo-connection-u3qd1c/) to match it.

| If the email does not show up in Fleetwire at all, external forwarding is most likely blocked. Go back to **Step 3** above.
---

## 🔍 Troubleshooting

**The rule saved but nothing ever arrives at Fleetwire.**
External forwarding is blocked by your Microsoft 365 outbound spam policy. See Step 3.

**I got a bounce or "undeliverable" message after creating the rule.**
Check the forwarding address for typos. It must match the Email Proxy in Fleetwire exactly, including the `fw-` prefix.

**Only some Turo emails arrive.**
Turo sends from more than one address. Add `@turo.com` as a **From** condition instead of the full address to catch all of them.

**I set this up in the Outlook desktop app and it only works while Outlook is open.**
Desktop ("client-side") rules only run when the app is running. Create the rule in Outlook on the web instead so it runs on Microsoft's servers around the clock.

## 🌟 Email Forwarding Set, Bookings Synced!

Fleetwire can now process supported car-sharing reservation emails and update availability for your matched listings.

## 🚀 Next Steps

* **Connect Turo**: Finish setting up your Turo connection in [Connecting with Turo](/en/article/turo-connection-u3qd1c/).
* **Match Your Listings**: Each Fleetwire listing needs its Turo vehicle linked, or bookings cannot be placed. That's Step 3 of the same article.
* **Manage Calendar**: Block off dates for Turo bookings in [Setting Up Your Fleetwire Calendar](/en/article/set-up-your-fleetwire-calendar-for-seamless-vehicle-availability-5svtxz/).
* **Need Help?** Contact us at [hi@fleetwire.io](mailto:hi@fleetwire.io) or via the in-app chat.

Happy syncing! 🌟
