🛠 How to Manage Secondary Drivers
Fleetwire gives you full control over secondary drivers at both the company and listing levels, with automatic fees via trip extras. Here’s how to set it up and streamline agreements.
Step 1: Enable Secondary Drivers Company-Wide
Set a default policy for allowing secondary drivers across your fleet.
In your Fleetwire dashboard, go to Settings > Online Reservations.
Find the Secondary Drivers section and toggle Allow Secondary Drivers to Enabled.
Click Update to save your company-wide settings.
Pro Tip: Enabling secondary drivers company-wide makes it easier for customers to add them at checkout, boosting flexibility for most rentals.
Step 2: Fine-Tune at the Listing Level
Override the company-wide setting for specific vehicles, like high-value cars.
Go to Listings and select a vehicle.
Click the Settings tab for that listing.
In the Driver Permissions section, toggle Allow Secondary Drivers:
- Enabled: Follows the company-wide setting or allows secondary drivers for this listing.
- Disabled: Prevents secondary drivers for this vehicle, overriding the company setting.
Click Save to apply the change.
Warning: Disabling secondary drivers for a listing takes precedence over the company-wide setting. Double-check your high-value vehicles to ensure the setting aligns with your policies.
Step 3: Set Up a Fee with a Secondary Driver Trip Extra
Instead of a direct charge, use a special trip extra to automatically add a fee when a secondary driver is selected.
Go to Listings and select a vehicle.
Click the Trip Extras tab.
Add a new trip extra or edit an existing one:
- Choose the Secondary Driver Trip Extra type.
- Set the Fee (e.g., $10 per secondary driver).
Click Save. This extra will auto-apply when a customer checks the secondary driver box at checkout.
Quick Tip: Adjust the fee based on the vehicle’s value—higher fees for luxury cars can help cover additional risk.
Step 4: Add Secondary Drivers at Checkout
Enable secondary drivers during the booking process and let the trip extra apply the fee.
At checkout, either in your dashboard ( Orders) or shop ( yourcompany.fleetwire.io/rental), look for the Secondary Drivers option.
Check the box to Add a Secondary Driver.
Enter the secondary driver’s details (e.g., name, license number).
The special trip extra will automatically add the fee to the order total if configured.
Complete the checkout process to confirm the booking.
Pro Tip: Verify the secondary driver’s license to ensure compliance with your rental policies before confirming the order.
Step 5: Use E-Sign Templates for Agreements
Auto-populate rental agreements with primary and secondary driver details.
In Settings, go to Templates.
Select your rental agreement template or create a new one.
Ensure the template includes e-sign parameters for Primary Driver and Secondary Driver (e.g., {{primary_driver_name}}, {{secondary_driver_name}}).
During checkout, Fleetwire will auto-fill these fields with the driver details.
Send the agreement for e-signing via email or display it in your shop.
Quick Tip: Test your template with a sample order to confirm all driver details populate correctly in the agreement.
