Note: Fleetwire’s default checkout fields include First Name, Last Name, Phone, and Date of Birth (DOB), as shown below. Custom fields add to these defaults.

🛠 How to Set Up Custom Checkout Fields
Follow these steps to create and attach custom checkout fields in Fleetwire, and use them in your e-sign templates.
Step 1: Access Checkout Settings
In your Fleetwire dashboard, go to Settings > Checkout.
Look for the Custom Fields section to start adding your fields.
Pro Tip: Custom fields apply to all checkouts in your Fleetwire-hosted shop, so choose fields that are relevant for most customers.
Step 2: Create a Custom Checkout Field
In the Custom Fields section, click Add New Field.
Configure the field:
- Field Name: Internal name for reference (e.g., HowDidYouHearAboutUs or InsurancePolicyNumber).
- Label: What customers see at checkout (e.g., How did you hear about us? or Insurance Policy Number).
- Type: Choose the field type (e.g., Text for free-form input, Dropdown for predefined options like “Google,” “Referral,” etc.).
- Required: Toggle to make the field mandatory or optional.
Click Save to add the field to your checkout form.
Quick Tip: Make fields like “Insurance Policy Number” required to ensure you have critical data, but keep fields like “How did you hear about us?” optional to avoid checkout friction.
Step 3: Use Custom Fields in E-Sign Templates
Custom checkout fields can be used as variables in your e-sign templates to auto-fill rental agreements.
Go to Documents > Templates to edit or create an e-sign template.
In the drag-and-drop editor, add a field and select your custom checkout field as a variable (e.g., {{HowDidYouHearAboutUs}} or {{InsurancePolicyNumber}}).
Save the template and assign it to your company branch or listing, as described in Using Fleetwire eSign to Streamline Rental Agreements.
During checkout, the customer’s input will auto-fill into the agreement.
Pro Tip: Test your e-sign template with a sample order to ensure custom field data (e.g., an insurance policy number entered on May 14, 2025, at 06:21 PM EDT) populates correctly.
Step 4: Test the Checkout Process
Visit your Fleetwire-hosted shop or create a test order in Orders.
At checkout, verify that the new custom field (e.g., How did you hear about us?) appears alongside the default fields (First Name, Last Name, Phone, DOB).
Complete the checkout to ensure the data is saved and, if linked to an e-sign template, auto-filled into the agreement.
Warning: If a custom field is set as required but not filled, the customer won’t be able to check out. Monitor your checkout process to ensure fields aren’t blocking conversions.
