Default and Custom Fields for Checkout

đź›’ Create Custom Checkout Fields or update the default fields in Fleetwire!

Want to collect specific details from customers during checkout? With Fleetwire, you can create custom checkout fields to gather extra information—like a driver’s license number or referral source—and automatically map it to your orders and customer profiles. You can also configure the built-in Date of Birth (DOB) field, including whether it’s visible and required, and have Fleetwire automatically enforce minimum-age policies at checkout.

⚙️ Configure the Built-In Date of Birth (DOB) Field

You can show or require DOB globally. If any listing has a minimum age, Fleetwire will automatically require DOB at checkout and validate it—customers who don’t meet the minimum age can’t complete the reservation.

Steps:

  1. Go to Settings → Online Reservations in your Fleetwire dashboard.
  2. Scroll to Checkout Fields → Date of Birth.
  3. Toggle Show Date of Birth to display the field at checkout.
  4. Toggle Require Date of Birth to make DOB mandatory.

What the renter sees:

  • A fast DOB input: type MM/DD/YYYY or use a calendar optimized for year selection.
  • Inline feedback like “Age: 27 âś“ meets requirement” or “✕ below minimum”.
Tip: If DOB is hidden, renters won’t see or be asked for it. If you rely on minimum age or insurance checks, keep DOB visible and required.

🎯 Why Add Custom Checkout Fields?

Custom checkout fields let you:

  • Gather Key Info: Collect details like “Where did you hear about us?” or “Preferred pickup time” directly at checkout.
  • Automate Data Mapping: Automatically sync the collected info to orders and customer profiles in Fleetwire.
  • Enhance Rentals: Use the data in rental agreements, email templates, or integrations like Zapier for a seamless workflow.

Note: Before creating checkout fields, you’ll need to set up at least one custom field for orders or customers. Learn how in Adding Custom Fields to Customer Profiles and Orders.

đź›  How to Create Custom Checkout Fields

Follow these steps to add custom checkout fields in Fleetwire, map them to existing custom fields, and test them in your online store.

Step 1: Create a Custom Field (Prerequisite)

Ensure you have a custom field ready to store the checkout data.

  1. Go to Settings > Custom Fields in your Fleetwire dashboard.
  2. Create a custom field for either orders or customers (e.g., a text field labeled Referral Source).
  3. Save the custom field—you’ll map it to your checkout field in the next step.

Pro Tip: Create fields like “Driver’s License Number” for orders or “Preferred Contact Method” for customers to capture useful rental details.

Step 2: Add a Custom Checkout Field

Set up a new checkout field and link it to your custom field for automatic data mapping.

  1. In your Fleetwire dashboard, go to Settings > Online Reservations.
  2. Scroll to the Checkout Fields section and click Add New.
  3. Fill in the details:
  • Label: The name displayed at checkout (e.g., Where did you hear about us?).
  • Custom Field: Select the custom field to store the data (e.g., Referral Source for a customer or order).
  • Required: (Optional) Check this box to make the field mandatory for completing checkout.
  1. Click Save to add the field.

Quick Tip: The label at checkout can differ from the internal custom field name—use customer-friendly phrasing like “Tell us your preferred pickup time” while mapping to a field named Pickup Preference.

Step 3: Test the Checkout Field

Verify that your new checkout field appears and maps data correctly during a reservation.

  1. Visit your online store (e.g., testcompany.fleetwire.io) and start a test reservation.
  2. During checkout, look for your new field (e.g., Where did you hear about us?) and fill it out.
  3. Complete the reservation and check the order in Orders or the customer profile in Customers.
  4. Confirm the data (e.g., referral source) is automatically mapped to the corresponding custom field.

Warning: If the field is marked as required, customers must fill it out to complete checkout. Test this setting to ensure it doesn’t frustrate users with unnecessary prompts.
