Need to analyze your rental business data or share it with your team? Fleetwire lets you export key data—like orders, vehicles, and customer records—directly from your dashboard. Customize columns, date ranges, and filters to create reports tailored to your needs. Let’s walk through how to export your data and manage your export history efficiently!

🎯 Why Export Your Fleetwire Data?

Exporting data from Fleetwire helps you:

  • Analyze Performance: Review orders, customer trends, or vehicle usage for better decision-making.
  • Share Reports: Provide data to your team, accountant, or partners in a convenient format.
  • Maintain Records: Keep backups of your business data for auditing or compliance.

Note: Exports are generated as CSV files, making them easy to open in tools like Excel or Google Sheets!

🛠 How to Export and Manage Your Fleetwire Data

Follow these steps to export orders, customers, or listings, customize your export, and manage past export files.

Step 1: Choose What to Export

Fleetwire lets you export three main types of data—here’s what each includes:

  • Orders: All booking details, including payment info, renter details, and trip dates (e.g., booking ID, total amount, renter name).
  • Customers: Full customer records, including contact info and rental history (e.g., email, phone, past bookings).
  • Listings: All vehicle data, including VIN, pricing, tags, and availability (e.g., VIN, daily rate, status).

Pro Tip: Decide what data you need before exporting—Orders are great for sales reports, while Listings help with inventory audits!

Step 2: Export Your Data

Customize your export with filters, date ranges, and columns to get exactly the data you need.

  1. In your Fleetwire dashboard, navigate to the relevant section:
  1. Click the Export Icon (usually a download arrow) in the top-right corner.
  2. Customize your export:
  • Date Range: Select a period (e.g., “Last 30 Days” or “Custom Range: May 1–May 15, 2025”).
  • Filters:
    • For Orders: Filter by Created Date (when the booking was made) or Trip Start (rental start date).
    • Include Abandoned Carts (optional, for incomplete bookings).
    • For Listings: Filter by Unavailable Listings (optional, to focus on booked vehicles).
  • Columns: Choose a preset (e.g., “Default Order Report”) or select custom fields (e.g., “Booking ID,” “Total Amount,” “Renter Email”).
  1. Click Export to generate the file—Fleetwire will process it and add it to your Export History. A popup should show you the download is ready.

Quick Tip: Use custom columns to focus on specific data—like “Payment Status” for orders or “VIN” for listings—to streamline your analysis!

Step 3: View or Redownload Past Exports

Access your export history to download or delete previous export files.

  1. Go to Settings > Exports in your Fleetwire dashboard.
  2. You’ll see a list of past exports with:
  • Filename: The name of the export (e.g., “orders_20250515.csv”).
  • Timestamp: When the export was created (e.g., “May 15, 2025, 11:51 AM EDT”).
  • File Type: Always CSV.
  • Size: The file size (e.g., “1.2 MB”).
  • Status: The processing status (e.g., “Completed” or “Processing”).
  1. Click the Download button to redownload the file, or click the Trash Can icon to delete it.

Quick Tip: Regularly clean up your Export History by deleting old files to keep it organized and avoid clutter!

Step 4: Understand Export Permissions

Ensure only authorized team members can access and export data.

  • Admins: Automatically have export permissions.
  • Team Members: Must have explicit export permissions—grant these in Settings > Team > Permissions.
  • Only users with export access can view and download files in Export History.

Note: Keep export permissions tight to protect sensitive data like customer records and booking details.

Step 5: Test Your Export Process

Verify that your exports work as expected and contain the right data.

  1. Export a small dataset (e.g., Orders from the last 7 days) using the steps in Step 2.
  2. Go to Settings > Exports and download the file.
  3. Open the CSV in a tool like Excel or Google Sheets and check:
  • The date range matches your selection (e.g., May 8–May 15, 2025).
  • The columns include your chosen fields (e.g., “Booking ID,” “Total Amount”).
  • Filters are applied correctly (e.g., only completed orders, no abandoned carts).
  1. If something’s missing, adjust your filters or columns and try again.

Quick Tip: Test with a short date range first to avoid generating large files while you’re fine-tuning your export settings!
