🛠 How to Send Payment Requests
Follow these steps to create a payment link, share it with your customer, and manage the request if needed.
Step 1: Create a Payment Link
Generate a payment link for an order directly from your Fleetwire dashboard.
- Go to Orders and select an order.
- Click the Payment button for that order.
- Choose Request Payment as the payment method.
- Select either Charge (to bill immediately) or Authorize (to hold funds for later capture).
- Fill in the Amount you want to request.
- (Optional) Add a Description to clarify the payment (e.g., “Deposit for Tesla Model X rental”).
- Click Create Payment Link.
Step 2: Share the Payment Link with Your Customer
Send the payment link to your customer via their preferred method.
- After creating the link, copy it to your clipboard to paste into any message (e.g., email, chat).
- Alternatively, click Send SMS to text the link directly to the customer’s phone number on file.
- For in-person payments, Fleetwire generates a QR Code—display it for the customer to scan with their phone camera.
Step 3: Customer Completes the Payment
Your customer can pay using the link or QR code with your enabled payment methods.
- The customer clicks the payment link or scans the QR code.
- They’ll be directed to a secure payment page to complete the transaction using the payment methods you’ve set up (e.g., Stripe, Square).
Step 4: Cancel a Payment Request (If Needed)
If the payment request is no longer needed, you can cancel it easily.
- In the same order view, hover over the pending payment request.
- Click Cancel Request to void the payment link.
- If the customer visits the payment URL after cancellation, they’ll see a message that the request has been canceled.
Step 5: Test Your Payment Flow
Verify that the payment process works smoothly for both you and your customers.
- Create a test order in Orders and generate a payment link.
- Open the link in a private browser window to simulate the customer experience—ensure the payment page loads correctly.
- Test the SMS option by sending the link to a test phone number.
- For in-person scenarios, scan the QR code with your phone to confirm it directs to the payment page.
