Set Up Your Fleetwire Calendar for Seamless Vehicle Availability
📅 Master Your Fleetwire Calendar for Flawless Bookings!
Your rental business thrives on availability, and Fleetwire’s calendar is your go-to tool for managing when vehicles are ready to roll! Each listing has its own calendar where you can block off unavailability, ensuring customers book at the right times. Plus, the dashboard gives you a bird’s-eye view of all listings’ availability. Let’s set up your calendars to keep your rentals running smoothly!
🎯 Why Set Up Your Calendar?
A well-managed calendar in Fleetwire helps you:
Control Per-Listing Availability: Block off dates for each vehicle to match your schedule.
Prevent Overbooking: Mark vehicles as unavailable during maintenance, holidays, or downtime.
Streamline Bookings: Set rental duration rules to align with your policies.
Sync with Customers: Display accurate availability in your Fleetwire-hosted shop.
Note: Your calendar relies on your timezone settings. Ensure your timezone is correct in Date and Time Settings to avoid booking mismatches.
🛠How to Configure Your Calendar
Fleetwire lets you manage availability on a per-listing basis, with a dashboard view to see everything at once. Follow these steps to set up unavailability for your vehicles.
Step 1: Access a Listing’s Calendar
In your Fleetwire dashboard, go to Listings.
Select a vehicle to open its details page.
Click the Calendar tab to view the listing’s calendar.
Pro Tip: Use the Calendar dashboard to see availability for all listings at once, helping you spot gaps or overlaps.
Step 2: Block Off Unavailability
Set specific dates when the vehicle is unavailable, such as for maintenance or personal use.
On the listing’s calendar page, find the Unavailability section.
Click Add Unavailable Dates.
Select a Date Range or single day to block (e.g., 2025-12-24 to 2025-12-25 for Christmas).
Click Save to mark the vehicle as unavailable for that period.
!
Warning: Blocked dates prevent bookings on this listing, even if other vehicles are available. Double-check your dates to avoid accidentally blocking peak rental periods.
Step 3: Set Rental Duration Rules
Control how long customers can rent this vehicle to match your business model.
On the same listing page, go to the Settings tab.
In the Rental Duration section, set:
- Minimum Rental Period: E.g., 1 day to prevent short rentals. The default is Any.
- Maximum Rental Period: E.g., 30 days to limit long-term bookings. The default is Any.
Click Update to save the rules for this listing.
Quick Tip: For high-demand vehicles, set shorter max durations to maximize turnover and revenue.
🌟 Your Calendar Is Ready!
Great job! Your vehicle’s calendar is now set to manage unavailability, ensuring smooth bookings. Check the Calendar dashboard to see all your listings’ availability at a glance, or visit your shop ( yourcompany.fleetwire.io) to confirm customers see the right booking options!
