Using Barcodes in Fleetwire

📊 Create and Import Barcodes in Fleetwire!

Looking to streamline your rental workflow? With Fleetwire, you can create and import barcodes to assign to customers, making it a breeze to add them to orders using a quick scan—like with a customer card! This feature saves time, reduces errors, and keeps your operations running smoothly. Let’s dive into how to set up barcodes for your customers!

🎯 Why Use Barcodes in Fleetwire?

Adding barcodes to customer profiles offers several benefits:

  • Speed Up Checkouts: Scan a customer’s barcode to quickly add them to an order—no manual searching needed.
  • Reduce Errors: Minimize mistakes by automating customer identification with a simple scan.
  • Enhance Organization: Assign barcodes to customer cards for a professional, efficient workflow.

Note: Fleetwire supports importing barcodes via CSV, making it easy to bulk-assign them to existing customers.

🛠 How to Create and Import Barcodes

Follow these steps to create barcodes for your customers in Fleetwire, choose the right barcode type, and optionally import them in bulk.

Step 1: Choose the Right Barcode Type

Before creating barcodes, understand the types Fleetwire supports to pick the best one for your needs.

Fleetwire supports the following barcode formats:

  • QR Code: Ideal for most use cases—flexible in size, high fault tolerance, and fast readability, even if damaged. They can store a lot of data in a small space.
  • Code 39: Stores both digits and characters but is larger, making it less suitable for small items like customer cards.

Pro Tip: QR codes are recommended for customer cards because they’re small, scannable, and can hold plenty of data (e.g., customer IDs).

Did You Know? Shorter barcodes (like the 8-digit EAN-8) are easier to scan and fit on items but store less data. QR codes can store more, making them versatile for customer tracking.

Step 2: Create a Barcode for a Customer

Generate a barcode for an individual customer to use on a customer card or for quick order lookup.

  1. In your Fleetwire dashboard, go to Customers and select a customer.
  2. In the right sidebar, click Add Barcode.
  3. Choose a barcode type (e.g., QR Code or Code 39).
  4. Either:
  • Scan or type the barcode number manually, or
  • Leave the field blank to let Fleetwire automatically generate a barcode for you.
  1. Click Save to assign the barcode to the customer.

Adding a Barcode

Quick Tip: Print the generated barcode onto a customer card for easy scanning during checkouts or pickups.

Step 3: Test Your Barcodes

Verify that your barcodes work as expected when adding customers to orders.

  1. Use a barcode scanner (or your device’s camera for QR codes) to scan a customer’s barcode.
  2. In your Fleetwire dashboard, create a new order in Orders.
  3. Scan the barcode to auto-populate the customer’s details in the order.
  4. Confirm the customer is added correctly and proceed with the order.
