What is Automatic E-sign?

Automatic E-signing is an excellent Fleetwire feature.

You can automatically send a document to your recipient when a reservation is created, either manually or through your online store. Even better, after a reservation, Fleetwire can automatically fill in important reservation data such as primary/secondary drivers' full name, email, phone, and date of birth, along with the listing vehicle, year, make, model, VIN, and reservation date and times.

You can add custom placeholders that can be input during checkout or signing. Can you customize a field to be mandatory or required? Yes! An example of an optional field could be "How did you hear about us?" or a required field like "What is your insurance policy number?".

When all recipients are completed, all parties will receive an email with the finished document signed.

Once you have your document template set and saved, you can turn it on for your listings (see the video below). Once that vehicle is booked, the document will be sent automatically, pre-filled with the data. Any data that Fleetwire doesn't know (like custom text placeholders) can be filled in by the renter when they are signing.

To manually send an e-sign document for a booking

You can also manually send out an e-sign document (see below). While on an individual booking, you have the option to create a new contract. Sometimes this is needed for a rental extension, a signed document needs to be updated and re-signed, or a vehicle swap.

First, navigate to the booking
On the top right click NEW CONTRACT.
In the popup, choose the document template you would like to use.
Choose how to notify the renter (sms and/or email).
Click CREATE.





Here is an example of the automatic e-sign in action. The top image is the template editor. Notice the Full Name placeholder fills in the name "Tim Apple" for an example reservation with a renter named "Tim Apple" along with other information. You can also add a document uploader placeholder and signature placeholder.
