Automate Charges: Use smart triggers to apply fees automatically (e.g., for young drivers).

Note: Trip Extras can be tailored to specific listings or applied across your entire fleet—perfect for customizing your rental offerings!

🛠 How to Add and Manage Trip Extras in Fleetwire

Follow these steps to set up Trip Extras, configure their settings, and test them to ensure they enhance your rental process.

Step 1: Understand Trip Extra Types

Fleetwire offers four types of Trip Extras, each with a unique purpose. Here’s a breakdown:

TypeDescriptionExample
OptionalRenters can choose to add at checkout.$25 Prepaid Fuel, $10 GPS rental
RequiredAutomatically added to all applicable reservations—no opt-out for renters.$9.95 Trip Protection Fee
HiddenNot shown to renters; used manually in the back office for internal charges.$250 Damage Fee
RecommendedHighlighted as a top pick at checkout to encourage renters to select it.$15 Car Seat (highlighted)

Smart Extras: Automatic Triggers

Fleetwire also offers Smart Extras that auto-apply based on renter details:
- Young Driver Fee: Added if the renter is under your fleet’s minimum age (e.g., under 25).
- Secondary Driver Fee: Applied if a secondary driver is added during checkout.
These extras are mandatory and can’t be skipped by the renter.

Pro Tip: Use Recommended Extras to upsell popular add-ons like car seats—highlighting them can increase uptake!

Step 2: Add a Trip Extra

Create a new Trip Extra and customize its settings to fit your rental business.

In your Fleetwire dashboard, go to Settings > Trip Extras or Listings and select a vehicle to add an extra.
Click ➕ Extra to create a new Trip Extra.
Choose the type:
- Convenience Extra (Optional or Recommended).
- Required Extra.
- Add Young Driver (Smart Extra).
- Add Secondary Driver (Smart Extra).
Configure the settings:
- Name: Name the extra (e.g., “Prepaid Fuel”).
- Price: Set the cost (e.g., $25 per trip or $5 per day).
- Discountable: Toggle whether it can be discounted (e.g., with a promo code).
- Listings: Select which vehicles or listings it applies to (e.g., all Teslas or a specific Model X).
- Visibility (under Settings):
- Toggle Hidden Extra to hide from customers (e.g., for back-office use like damage fees).
- Toggle Recommended to highlight at checkout (e.g., for car seats).
Click Save—your Trip Extra is now active!

Quick Tip: Start with an Optional Extra like “GPS Rental” to test how renters respond before adding more complex setups!

Step 3: Edit or Remove Trip Extras

Update or delete Trip Extras as needed to keep your offerings current.

Go to Settings > Trip Extras.
View your list of extras—each will show how many listings it’s assigned to (e.g., “Applied to 5 listings”).
To update:
- Click Edit to change the price, type, or assigned listings (e.g., change “Prepaid Fuel” from $25 to $30).
To delete:
- Click Delete to remove the extra—it will no longer apply to future reservations.
Save any changes to update your settings.

Pro Tip: Regularly review your Trip Extras to ensure pricing and relevance—remove outdated extras to keep checkout clean and simple!

Step 4: Test Your Trip Extras

Ensure your Trip Extras are applied correctly during the rental process.

Create a test reservation on your online store (e.g., testcompany.fleetwire.io).
- Select a listing with an Optional or Recommended Extra (e.g., a Tesla Model X with a $10 GPS option).
- At checkout, confirm the Extra is displayed (e.g., “Add GPS for $10?”) and highlighted if Recommended.
Test a Required Extra:
- Choose a listing with a Required Extra (e.g., $9.95 Trip Protection Fee) and confirm it’s automatically added to the total.
Test a Smart Extra:
- Enter a renter age under your minimum (e.g., 23 if the minimum is 25) to trigger the Young Driver Fee.
- Add a secondary driver at checkout to trigger the Secondary Driver Fee.
Test a Hidden Extra:
- In the back office ( Back Office), manually apply a Hidden Extra (e.g., $250 Damage Fee) to an order and confirm it’s not visible to the renter.
Check the order in Orders to verify all Extras are applied correctly in the total.

Quick Tip: Test today with different scenarios (e.g., young driver, secondary driver) to ensure Smart Extras trigger as expected!
