🚘 Configure Payment Collection for Listings in Fleetwire

Fleetwire gives you control over when and how customers pay for a reservation. The Payment Collection setting lets you choose whether payment happens online, at pickup, or is decided by the customer during checkout.

This flexibility helps you match your payment flow to your business model, risk tolerance, and customer expectations.


Note: You can find this setting by going to Listings, selecting a listing, and opening the Pricing or Settings section where Payment Collection is available.

Choosing the right payment collection mode helps you:

Fleetwire currently supports three payment collection modes. Only one can be selected per listing.

Option 1: Charge now (Default)

Customers pay online during checkout.


What happens:


  • Full payment is collected online at the time of booking
  • Checkout requires a valid payment method
  • Funds are processed before pickup


Best for:


  • Online-first rentals
  • Unattended or self-service pickups
  • Reducing no-shows and payment disputes


What customers see:


  • Payment is required to complete checkout


Option 2: Ask customer


Customers choose how they want to pay during checkout.


What happens:


  • Customers can select Pay now or Pay at pickup
  • Online payment is optional
  • Final choice is made by the customer at checkout


Best for:


  • Mixed workflows
  • Returning or trusted customers
  • Businesses transitioning from in-person to online payments


What customers see:


  • A choice during checkout to pay online or pay at pickup



Option 3: Pay at pickup only


No online payment is collected during checkout.


What happens:


  • No charges are processed online
  • Customers pay in person at vehicle pickup
  • Checkout does not require a payment method


Important limitation:


  • Online security deposits are not supported
  • Security deposits are automatically disabled for this listing


Best for:


  • In-person rentals
  • Cash, terminal, or invoice-based payments
  • Businesses that do not charge online


What customers see:


  • Checkout completes without payment


Warning: If Pay at pickup only is selected, any configured online security deposit will be disabled automatically for this listing.

If Payment Collection is not enabled on your account, you will see a Coming soon message.

You can:

  • Join the waitlist directly from the listing screen
  • Get notified as soon as the feature is available

Once enabled, the setting becomes active immediately for the listing.

Use this quick guide:


  • Want payment guaranteed before pickup? Choose Charge now
  • Want flexibility without forcing online payment? Choose Ask customer
  • Want no online payments at all? Choose Pay at pickup only


You can change this setting at any time per listing.
