🎒 Add Trip Extras to Enhance Your Fleetwire Rentals!

Want to increase revenue and improve the rental experience? Trip Extras in Fleetwire let you charge for add-ons like GPS, car seats, insurance, or fuel packages. You can make them optional, required, or even auto-triggered based on renter details—and assign them to specific vehicles or listings. Let’s set up Trip Extras to give your renters more options and boost your earnings!

🎯 Why Use Trip Extras?

Trip Extras in Fleetwire help you:

  • Increase Revenue: Charge for value-added services like prepaid fuel or insurance.
  • Enhance the Renter Experience: Offer convenient add-ons like GPS or car seats at checkout.
  • Automate Charges: Use smart triggers to apply fees automatically (e.g., for young drivers).

Note: Trip Extras can be tailored to specific listings or applied across your entire fleet—perfect for customizing your rental offerings!

🛠 How to Add and Manage Trip Extras in Fleetwire

Follow these steps to set up Trip Extras, configure their settings, and test them to ensure they enhance your rental process.

Step 1: Understand Trip Extra Types

When you add an extra, Fleetwire asks which kind you want:

Type

Description

Example

Convenience extra

An optional add-on renters can choose at checkout. You can also highlight it as recommended, or hide it from checkout.

$25 Prepaid Fuel, $10 GPS rental

Required extra

A set of priced options, and renters must choose one before checkout.

Basic or Premium Trip Protection

Young driver

A special fee for qualifying young drivers.

$25/day Young Driver Fee

Secondary driver

A fee when a secondary driver is added.

$10/day Secondary Driver

A convenience extra can also be:

  • Recommended: highlighted at checkout with a label like “Recommended” or “Most popular” (e.g., a $15 car seat).
  • Hidden: left off checkout entirely, for charges you add yourself in the back office (e.g., a $250 damage fee).

Smart Extras: Automatic Triggers

  • Young Driver: Young driver ages are configured on each listing. Renters only see this extra at checkout when they qualify as a young driver.
  • Secondary Driver: Turn on Require when a secondary driver is added and the fee applies automatically when the renter completes the secondary driver form.

Pro Tip: Use Recommended Extras to upsell popular add-ons like car seats—highlighting them can increase uptake!

Step 2: Add a Trip Extra

Create a new Trip Extra and customize its settings to fit your rental business.

  1. In your Fleetwire dashboard, go to Listings and switch to the Trip Extras tab at the top (or go straight to Trip Extras).
  2. Click + Extra.
  3. In Add trip extra, choose Convenience extra, Required extra, Young driver, or Secondary driver.

Convenience, young driver, and secondary driver extras

The Add Extra dialog has four sections:

  • Icon: Click the icon tile beside the title to pick one. Leave it alone and Fleetwire picks an icon that matches the name (choose Match the name automatically to go back to that). The icon also shows on the extra’s line in a booking’s charges.
  • General: Title and Description (shown to renters at checkout).
  • Pricing: Price, and Per trip (charged once) or Per day (charged for each day of the trip).
  • Taxes & discounts:
    • Taxable: tax is added at checkout. Pick the Tax profile to use.
    • Discountable: coupons and booking discounts apply to it.
  • Checkout behavior:
    • Show as recommended: highlights the extra during checkout, with an optional Recommended label.
    • Hidden extra: hides it from checkout so you can add it manually in the back office.
    • Require when a secondary driver is added (secondary driver extra only).

Click Add Extra to save it.

Required extras

The Add Required Extra dialog asks for an Extra name and Per trip or Per day. Under Options, click Add option, enter an Option title, Price, and description, then click Save option. Add at least one priced option. The Preview shows what renters will see. Click Save extra.

Assign it to listings

New extras aren’t on any listing yet. In the Trip Extras list, click the extra’s Listings button (it reads No listings, 1 listing, or All listings). In Assign listings, choose which listings can offer it, then click Save.

Note: Adding, editing, or assigning extras needs the Listings → Edit permission. Team members without it can see the list, but the + Extra, Edit, and Delete controls are hidden.

Quick Tip: Start with an Optional Extra like “GPS Rental” to test how renters respond before adding more complex setups!

Step 3: Edit or Remove Trip Extras

Update or delete Trip Extras as needed to keep your offerings current.

  1. Go to Trip Extras.
  2. The list shows each extra’s Price, Type (Per trip / Per day), Required, Visibility (Visible / Hidden), Discountable, and Listings. Use the search box and filters to narrow it down.
  3. To update, click Edit next to the extra, make your changes, and click Save.
  4. To delete, click Delete and confirm. The extra won’t be offered on future reservations.

To see or remove the extras on a single listing, open the listing’s settings and find the Trip Extras section. Manage Trip Extras takes you back to the full list.

Pro Tip: Regularly review your Trip Extras to ensure pricing and relevance—remove outdated extras to keep checkout clean and simple!

Step 4: Test Your Trip Extras

Ensure your Trip Extras are applied correctly during the rental process.

  1. Create a test reservation on your online store (e.g., testcompany.fleetwire.io).
  • Select a listing with a convenience extra (e.g., a Tesla Model X with a $10 GPS option).
  • At checkout, confirm the extra is displayed and highlighted if it’s recommended.
  1. Test a Required extra:
  • Choose a listing with a required extra and confirm checkout asks the renter to pick one of its options.
  1. Test a Smart Extra:
  • Enter a renter age under your minimum (e.g., 23 if the minimum is 25) to trigger the Young Driver Fee.
  • Add a secondary driver at checkout to trigger the Secondary Driver Fee.
  1. Test a Hidden extra:
  • Open a booking and, in its Charges card, click Add a Line → Add Trip Extra. Add the hidden extra (e.g., a $250 damage fee) and confirm it never appears on your checkout.
  1. Check the order in Orders to verify all extras are applied correctly in the total.

Quick Tip: Test today with different scenarios (e.g., young driver, secondary driver) to ensure Smart Extras trigger as expected!
