Managing bookings in Fleetwire is like keeping your rental fleet in perfect order — easy and efficient! Whether you’re holding a spot for a customer or locking in a reservation, Fleetwire lets you save orders as concepts or reserve listings to prevent overbooking. Let’s dive into how to use these features to keep your rental business running smoothly!


🎯 Why Save or Reserve Orders?



Saving and reserving orders helps you:

Stay Organized: Track potential bookings without committing inventory right away.
Prevent Overbooking: Reserve vehicles to ensure they’re unavailable for other customers during the rental period.
Close Deals: Save draft orders while waiting for customer confirmation, then convert them to reservations with a click.

Note: Every manual order starts with a NEW status. It won’t appear in the Orders dashboard or get a booking ID until you save or reserve it.




🛠 How to Save or Reserve Orders



When you create a manual order, you have two options: Save as Concept or Reserve. Here’s how they work and when to use each.

Option 1: Save as Concept



Use this when you’re not ready to lock in the booking — maybe you’re waiting for the customer’s final approval.

What It Does: Saves the order as a draft without reserving the vehicle. The listing remains available for other bookings.
When to Use: Ideal for tentative bookings, like when a customer is still deciding or you’re quoting a price.
How to Do It:

In your Fleetwire dashboard, create a new order in Orders.

Add the customer, vehicle, and rental details.

Click Save as Concept to store the order without reserving the vehicle.

Pro Tip: Use “Save as Concept” for phone inquiries to keep a record of the conversation until the customer confirms.


Option 2: Reserve the Order



Use this to lock in the booking and block the vehicle from other reservations.

What It Does: Reserves the vehicle, marking it unavailable for the selected rental period in your Calendar.
When to Use: Perfect for confirmed bookings or when you need to guarantee availability for a customer.
How to Do It:

Create or open a new order in Orders.

Add the customer, vehicle, and rental details.

Click Reserve to save the order and block the vehicle’s availability.

Quick Tip: Check your Calendar after reserving to confirm the vehicle is blocked for the rental period.

Warning: If you forget to save or reserve an order, it stays in NEW status and won’t appear in your Orders dashboard. Always click Save as Concept or Reserve to avoid losing the order.
