Sign Rental Agreements as Your Company

✍️ Sign Rental Agreements as Your Company

Many rental agreements have a line for the company to sign, not only the renter. Fleetwire can sign that line for you. Adopt your company signature once, add a Company signature field to your agreement, and Fleetwire signs for your company the moment the renter finishes, with your name, title and the date.

🎯 How It Works

  • Sign once: Draw or type your signature in settings, with the signer's name and title.
  • Your company signs last: When the renter (and any additional driver) finishes signing, Fleetwire adds your signature and the date. You don't do anything per booking.
  • Nothing waits on you: Renters are never held up waiting for your signature, including when you require a signed agreement before payment.
  • A clear record: The signing certificate shows who adopted the signature, when, and that it was applied automatically when the renter finished.

βœ… Before You Start

You'll need:

  • A plan that includes eSign.
  • To be a company admin. Other team members can see the company signature but can't add or change it.

πŸ–ŠοΈ Step 1: Adopt Your Company Signature

  1. Go to Settings > Checkout.
  2. Scroll to Document eSign and find Company signature.
  3. Click Add company signature.
  4. Draw your signature, or switch to Type to use your typed name in a script style.
  5. Enter the Signer name and Title (for example, "Owner" or "Fleet Manager").
  6. Read the confirmation and tick the box. It authorizes Fleetwire to apply this signature on your company's behalf to agreements that have a Company signature field, once the renter has signed.
  7. Click Adopt signature.

The Company signature card in Settings > Checkout, with a signature adopted.

Tip: To change it later, click Replace signature. Agreements already signed keep the signature that was on them. You can only Remove it once no template has a Company signature field, so new agreements are never left with a blank company box by surprise.

πŸ“„ Step 2: Add the Company Fields to Your Agreement

If you uploaded your own PDF

  1. Go to Documents and open your agreement under Templates.
  2. In the Fields panel, open the Company group. Company fields show in slate gray, so you can tell them apart from the renter's.
  3. Place these on your company's signature line:
    • Company signature
    • Company signer name and Company signer title, if your agreement prints them
    • Company date signed
  4. Save the template.

No company signature yet? The Company group says so, and a company admin can click Add signature right there instead of going to settings.

The Company group in the template editor's Fields panel.

If you built your agreement in Fleetwire

  1. Open the agreement in the builder.
  2. On the Terms tab, turn on Add a company signature, signed automatically when the renter finishes.
  3. Save. A signing panel with your company name appears next to the renter's.

πŸ‘€ What Your Renter Sees

The signer name and title show on the agreement from the start. The company signature box reads "Signed by [your company] when you finish". The renter can't click it, and it doesn't count toward the fields they still have to fill in. Once they finish, the signed PDF shows your signature and the date.

❓ Good to Know

What if I add the field but haven't adopted a signature?
The template editor warns you, and admins can add one from the Company group. If an agreement is signed before you add one, the company box is left blank and the agreement still completes. Your renter is never blocked.

Does this hold up "Require a signed agreement before payment"?
No. That check only looks at the renter's signature.

Can each employee have their own signature?
Not yet. Each company has one signature. Replacing it changes the signature for agreements signed from then on.

Is this a legal signature?
Fleetwire records your adoption (who, when and from where) and marks each signature as applied automatically on the certificate. Whether that meets your needs depends on your state and your agreement, so check with your lawyer if you're unsure.
