Organize Your Fleet with Branches

📍 Organize Your Fleet with Branches

A branch is a place you rent from. It holds that location's address, timezone, default rental agreement, and pickup and return spots, and every listing you assign to it follows those defaults.

Note: Most hosts only need one branch. If you rent from a single spot, create one branch for it and assign all your listings to it. That's a complete setup, not a missing step. Add more branches only when you rent from several locations with their own addresses, timezones, or agreements.

🎯 What a Branch Controls

Setting

What it does

Branch name

How the branch shows up across your dashboard, for example Airport

Contact email

The email address for this branch

Rental agreement

The agreement customers sign for listings in this branch, unless a listing sets its own

Timezone

The timezone for every listing assigned to this branch

Address

Where the branch operates

Pickup & return

Where renters collect and drop off vehicles by default

Branches also group your delivery and pickup options. Each option belongs to a branch, and customers only see the options for the branch of the listing they're booking. See Configuring Delivery and Pickup Locations for Your Rentals for how to set those up.

🛠 Create a Branch

  1. In your Fleetwire dashboard, go to Settings > Fleet > Branches.
  2. Click Add Branch.
  3. Under Details, enter a Branch name and Contact email. Pick a Rental agreement if you have one, and check the Timezone. Fleetwire fills in your computer's timezone to start.
  4. Under Address, start typing the branch's street address and pick it from the suggestions. To type it yourself, click Or Enter an address manually.
  5. Under Pickup & return, leave Same as the branch address on if renters collect and return vehicles at the branch. Turn it off to type a different spot for each, such as Terminal B curbside or Rental return lot, level 2.
  6. Click Create branch.

Pro Tip: Name branches the way your team talks about them. Airport and Downtown are easier to pick from a list than full street addresses.

✏️ Edit a Branch

  1. Go to Settings > Fleet > Branches and click the branch name.
  2. Change any field. To move the branch, click Change address under the map and pick the new one. Changed your mind? Click Keep current address.
  3. Click Save.

The branches table shows each branch's address and its pickup and return spots. Same as branch means the spot is the branch address.

Important: Saving a branch updates the timezone on every listing assigned to it. If one listing needs a different timezone, put it in its own branch.

🚗 Assign Listings to a Branch

A listing follows a branch's agreement and timezone only once it's assigned to that branch.

One listing at a time

  1. Go to Listings and open a vehicle.
  2. Click the Settings tab.
  3. Under Listing Branch, pick the branch.

Many listings at once

  1. On the Listings page, select the listings you want to move.
  2. Click Edit Selected.
  3. Open the Location tab, check Update Branch, and pick the branch.
  4. Click Apply to All.

📝 How the Rental Agreement Is Chosen

When a customer books, Fleetwire uses the listing's own agreement if it has one. If it doesn't, it uses the agreement set on the listing's branch.

To have a listing follow its branch, open the listing's Settings tab and, under Document eSign, choose Use Branch Default. This option is only available once the listing is assigned to a branch.

Note: Changing a branch's agreement applies to future bookings. Agreements customers already signed don't change.

🗑 Delete a Branch

Open the branch and click Delete, then click again to confirm.

You can't delete a branch while anything still uses it. Move its listings, delivery and pickup options, and vehicle classes to another branch first. Fleetwire tells you what's still attached if you try.

Happy renting! 🌟
